About the role

 

The Employee Support Services Specialist works as an integral part of the HR Shared Services Team, providing first-line HR support for employees, managers and HR business partners. You also will represent HR Shared Services on various HR projects aligned to our KBS (Kerry Business Services) goals outlined each fiscal year.

Key responsibilities

 

General HR Support:

•Monitor & handle employee requests through Service Now System, drop-ins and HR calls throughout the day, professionally and promptly, and escalate to appropriate HR representative as needed
•Investigate employment issues, identify risks, make recommendations for resolution and escalate as required to the manager, HR Business Partner, other HR etc. for final decision
•Provide subject matter expertise within HR and to other cross - functional departments ensuring quality service and timely issue resolution
•Maintain confidentiality and ensure security of personal and company data are in accordance with legislative guidelines, company policies and procedures
•Adhere to Corporate Approvals and Authorities Policy (Approvals Matrix), all applicable labour laws and regulations, vendor contracts and company policies
•Solicit regular feedback and proactively recommend and implement solutions to ensure process and service levels are in line with standard operating procedures/service level expectations

 

Day-to-Day Operations:

•Answer general questions around policy, procedural and compliance related issues
•Review employment change requests for completeness and accuracy, verify approvals, update changes in HR systems and other related systems
•Review voluntary departure, New hire, Transfer notification for completeness, and timely update in HR systems and other related systems
•Ensure that all invoices are processed on a timely manner without any delay as per the process

 

Data Entry/Audit:

•Monitor, maintain, audit and input data into workflows, HR system, and any other relevant databases ensuring that the information is accurate and timely

 

Continuous Improvement:

•Maintain and update internal procedural documents (i.e. Standard Operating Procedures, Checklists, Templates and Process documents etc.)
•Assist in developing and documenting policies and procedures; also provide feedback to help improve new and existing policies and procedures
•Identify opportunities to develop the HRS Services team delivery, actively supporting the development of processes and transitioning activities
 

Qualifications and skills

 

•Bachelor’s degree, preferably in HR Management, Business or related with at least 3-5 years of relevant, HR experience essential in a Shared Services environment
•Intermediate Level of Microsoft Office (Word, Excel, Access, PowerPoint, Outlook) with experience using SuccessFactors or equivalent Human Resources Information Systems 
•Country-specific knowledge around legislation / employment standards practices, benefit administration 
•Ability to problem solve (project and day-to-day operations) and to interpret company policies, guidelines etc. 
•Must be able to organise and prioritise in a matrix environment with multiple tasks and tight deadlines
•Ability to maintain a customer service focus and customer-centric approach when dealing with employees at all levels of the organization while maintaining confidentiality 
•High attention to detail and accuracy 
•Ability to work independently and with little supervision and to effectively handle escalations and time-sensitive issues
