HR Admin Assistant (12 Months Fixed Term Contract)

Key Responsibilities:

 

  • Preparing Management report for attendance tracking, etc
  • Training co-ordination for the plant and to liaise with external training consultant/provider. 
  • Ensure training administration matters are completed within specified timelines. 
  • Update the Training Record / Update Certificate of Attendance in the Training Record.
  • Managing Human Resources Development Fund (HRDF) for Penang plant
  • Managing attendance for plant and ensure attendance accuracy for Payroll to generate for monthly Payroll
  • Administration of employee all finger / face scan terminal and personal lockers. 
  • Registration of employee to the terminal upon hiring & deletion upon leaving. Includes managing issues of terminal malfunction & dealing with vendors for rectifications.
  • Managing of renewal plant licensing / local authority documents such as premise license, assessment & quit rent.
  • Involved in audit / inspection activities such as locker’s inspection, hostel’s inspection etc
  • Co-ordination for preparation for audit, meeting or report related matters
  • Coordinating in sports and recreation activities & handling Hari Raya goodies co-ordinations
  • Will be involved in and be part of Committee members for Safety Committee & Sports, Welfare and Recreational Club (SWRC)

Qualifications and Skills:

 

  • Minimum Diploma in Human Resources / Admin or associated course
  • Minimum 3 years’ HR work experience in related role
  • Well versed in HRIS
  • Good knowledge of employment laws in Malaysia
  • Good knowledge of Microsoft applications: Excel, Word and Powerpoint
  • Good communication skills (spoken and written) in English and Malay
  • Good planning and organizing skills
